IIPLA needs volunteers to help make IIPLA Conferences a success. Volunteering is a great way to network while getting a behind-the-scenes look at the conference and earning a conference discount. Volunteering is open to all conference attendees.
 
Volunteers are eligible for the special discount of 50% to 100% of the registration price. In exchange, volunteers are expected to work 4-7 hours (depending upon the role) for one day of Conference. Volunteers must sign the volunteer agreement and preferably also a member member of IIPLA. Volunteering preference will be given to IIPLA members.
 
Volunteers are the face of IIPLA Conferences. As such, volunteers are expected to be punctual, respectful and helpful during their shifts. It is very beneficial to you to become knowledgeable on various aspects of the conference such as event locations, layout of the venue, general conference information, and program details.

Scheduling volunteers for an IIPLA Conference requires a tremendous amount of planning and cooperation; ISPI appreciates your willingness to help make the conference a huge success, by honoring your shifts, showing up on time, and staying until the job is done!

Following are the key areas of the conference:

Conference Host (M.C.): 7 hours (100% fee waiver)

Host/MC are are responsible for announcements of a meeting room throughout the conference and coordinate with speakers and other organizing committee members including room monitors and hospitality volunteers. This is one of the best ways to network with the conference attendees. Host will initiate and manage the complete conference proceedings in a room and need to have complete information about the schedule.

Registration: 4 hours (50% fee waiver)

Registration volunteers are responsible for welcoming attendees and distributing registration materials. Attendees will expect you to have the answer to everything, so familiarize yourself with the conference schedules, the Conference Onsite Guide, the conference mobile app, room locations, etc.

Room Monitors: 4 hours (50% fee waiver)

As a session monitor, you will liaise with the speakers to ensure they have all necessary equipment, welcome attendees as they enter the session room, provide a session headcount, and provide evaluation information to attendees. Room monitors are assigned to one room for one day, and may request a certain theme or track to liaise; while IIPLA will try to honor all requests, requests are not guaranteed.

Hospitality: 4 hours (50% fee waiver)

Hospitality volunteers need to be very familiar with the conference schedule; special events, restaurants, and other items that you believe will contribute to an overall positive conference experience including information about the conference for first-time attendees. Hospitality volunteers will assist with special events and setup throughout the Conference. 

Further, the Hospitality volunteers are responsible for giving directions to conference attendees at posts throughout the conference facility.

Exhibit Hall: 4 hours (50% fee waiver)

Exhibit Hall volunteers are responsible for checking in and assisting exhibitors and encouraging participants to visit the Hall.

1. How do you apply to register to volunteer at Web Summit?

For completing the registration, you will have to sign IIPLA Volunteer Agreement, available HERE.

2. Who is eligible to volunteer at Web Summit?

Anyone who has a conversational level of English and must be 18 years old or older at the time of the event. We welcome applications from people from across the world and are looking forward to working with a diverse, ambitious group of volunteers.

3. Will IIPLA cover my costs?

No. IIPLA does not cover volunteers’ travel or accommodation costs. Volunteers will receive a lunch packs (as per registration) on the days of their shift and lunch breaks are included for each person as per schedule.

4. How many shifts do I have to complete?

Volunteers will complete no more than 3 shifts across the days of the conference. The number of shifts you complete, their times, and their length depends on your team assignment and your availability. Everyone will be scheduled a lunch break along with shorter breaks throughout their shift where possible.

5. Will I receive training before my first shift? 

We will provide volunteers with a briefing to run through the IIPLA Volunteer Programme, their volunteer roles and answer any questions. Date and location will be confirmed before the event.

6. When do applications close?

Volunteer positions are filled on a first-come, first-served basis. Once applications are open, you can register your interest to volunteer at IIPLA conference of your choice. Please note that if your registration is not confirmed, we can not guarantee your volunteer position.

7. If I need a visa to volunteer at IIPLA Conference, will you help with my visa application? 

While we will not engage directly with your relevant embassy, we can supply you with a letter confirming you will be volunteering at IIPLA to support your application. Please email us a picture of your passport details to include in your visa letter.
